Most business owners lose more than they realise. The insight from a client call, the promise made on a podcast, the idea jotted on a Tuesday: it all evaporates. The fix is a "second brain", a single place that holds your meetings, your conversations and your notes. The container is Obsidian, which keeps everything as plain text files on your own computer. Then you point AI at it. AI reads, summarises and connects the lot, so you can ask your own knowledge a question and get a straight answer.

Obsidian is a free note-taking app. The catch that makes it special: your notes are just plain text files in a folder on your own computer. No subscription, no account, no company holding your data hostage. It works offline, and because your notes are ordinary files, every other tool in this stack, including Claude, can read and write to them. This is the base layer. Get this right and everything else clicks on top.

Your notes are plain text files on your machine. No subscription, no lock-in. If Obsidian vanished tomorrow, every note still opens in any app. That is real ownership of your business knowledge.

It plugs into everything

Because the vault is a normal folder, automations and AI can plug straight in. That is the whole point of building on Obsidian: it becomes the brain the rest of the stack feeds and reads.

How it works
  1. Plain-text files you controlEach note is a markdown (.md) file, a simple text format. They sit in one folder called the vault. Open them in Obsidian, or any text editor, anytime. Nothing is trapped.
  2. Wikilinks connect your notesType a note's name in double square brackets and it becomes a link. Link a client to a project to a meeting, and over time your notes form a web you can follow, not a pile you forget.
  3. Folders organise by areaTop-level folders split your work into areas. Harry runs folders for an inbox, business, personal brand, writing, health, resources, people and an archive, plus a daily-notes folder. A sensible example, not a rule.
  4. Plugins extend itObsidian has hundreds of free community plugins that add features. You only need one to start. Add more as you find a real need, not before.
  5. Dataview turns notes into dashboardsThe Dataview plugin (and the newer Bases) reads fields from your notes and builds live tables that update themselves. Harry keeps one file per person in a people folder, each with fields like birthday and last contact at the top, then a single dashboard lists everyone automatically.
  6. Sync makes it follow youThe vault is just a folder, so put it in Google Drive, iCloud, Dropbox or paid Obsidian Sync and it appears on every device. That same folder-on-disk nature is exactly what lets your automations reach in.

CLAUDE INSIDE YOUR NOTES

Claudian: Claude living inside Obsidian

An assistant that sits in your notebook and edits your notes when you ask it to.

Claudian is a plugin you add to Obsidian, the free note-taking app. It puts Claude, Anthropic's AI assistant, right inside your notes. Your whole vault becomes the workspace it can read and write. You ask, it acts, you approve. You never leave Obsidian to do it.

Why it matters
It works where your knowledge already lives

All your meeting notes, client records, and ideas are in one folder. Claudian reads across the lot, so you stop copying and pasting between a chat window and your notes.

You stay in control

It proposes a plan first and shows you a word-by-word preview before it changes anything. Nothing happens to your files until you say yes.

It saves the boring hours

Summarising a meeting, drafting a proposal from three notes, finding every mention of a client, tidying a messy page. The dull jobs that eat your week get done in minutes.

How it works
  1. Install it from inside ObsidianOpen Settings, go to Community plugins, click Browse, search for Claudian, and install. No coding, no terminal. It runs on Windows, Mac and Linux desktops.
  2. Connect your Claude accountClaudian uses Claude's coding agent under the bonnet. You sign in with your own Claude subscription so it can think and act for you.
  3. Open the chat panelClick the ribbon icon to open a sidebar chat. You can run several tabs at once for separate jobs, and your history is kept.
  4. Use Plan Mode before it touches anythingToggle Plan Mode with Shift and Tab. The assistant explores your notes and writes out a plan first, so you see its thinking before any change is made.
  5. Edit a paragraph in placeSelect text in a note, press the inline-edit hotkey, and tell it what you want. It shows a word-level diff so you approve or reject the change.
  6. Point it at the right materialType @ to reference specific notes or folders, / for saved prompt templates, $ for skills, and # to add a standing instruction. This keeps answers grounded in your real notes.

claude-obsidian: Claude files your notes for you

Drop in your research and wake up to a tidy, cross-linked wiki you fully own.

claude-obsidian is a free, open-source tool that turns Claude into a librarian for your notes. You point it at an Obsidian vault, hand it a document, and Claude reads it, pulls out the key ideas, and builds a set of linked wiki pages for you. It is the flip side of Claudian from the last section. There, you chat with Claude inside your notes. Here, Claude does the filing while you get on with running the business.

Why it matters
Filing without the filing

You collect sources all week: PDFs, articles, supplier docs, meeting transcripts. claude-obsidian reads each one and writes the wiki pages, so the organising happens on its own instead of never happening at all.

It catches what you would miss

It flags where two sources disagree, with a note on who said what, and runs a health check that finds dead links, gaps, and claims that have gone stale. A second set of eyes on your knowledge.

You still own everything

The whole wiki is plain text files on your computer. No new app to be locked into, no subscription holding your notes hostage. If you ever walk away, you keep the lot.

How it works
  1. Point it at a vaultAn Obsidian vault is just a folder of plain text notes. You run claude-obsidian from Claude Code, the desktop agent, and aim it at that folder. Then you type /wiki to set things up or pick up where you left off.
  2. Ingest a sourceYou say ingest, then the file. Claude reads the document, finds the people, places, and concepts inside it, and writes roughly 8 to 15 interlinked pages, then updates the index so everything connects.
  3. Let it research the gapsRun /autoresearch on a topic and Claude does a three-round web search loop, filling holes in your wiki with fresh material so the picture is more complete.
  4. Flag the contradictionsWhen two sources disagree, claude-obsidian adds a contradiction note on the page and records where each claim came from, so you can judge which one to trust.
  5. Run a health checkType lint the wiki and Claude audits the whole thing across about eight categories: orphan pages with no links, broken links, missing topics, stale claims, and contradictions. You get a tidy report.
  6. Organise it your wayIt supports a few popular note-keeping styles: maps of content (LYT), the PARA folders method, or Zettelkasten, plus a plain generic mode if you just want it to stay out of the way.

It is open source and free under the MIT licence, so it is fine for business use, but remember Claude reads whatever you ingest. Keep genuinely sensitive client documents out of it unless you are comfortable with that. The vault always stays on your own machine.

Make your vault Claude's memory

Stop re-briefing the AI. Store its memory in your notes so every Claude you use already knows you.

AI normally forgets everything the moment a chat ends. Worse, the different Claudes you use cannot see each other's history. Claude Desktop, Claudian (the plugin inside Obsidian), and Claude Code are all separate conversations that do not share a thing. So you explain yourself over and over, and good context gets lost. The fix is simple: give Claude a memory by storing it in your vault. You write one master file describing who you are and how you work, you tell Claude to read it first, and you tell it to save what you decide as you go. How it works
  1. Create the master context fileMake a note called CLAUDE.md at the top of your vault. This is the one file Claude looks for first. Claude Code, Claudian and claude-obsidian pick it up automatically.
  2. Write a short profile of youA few lines on who you are, what your business does, how you like to write, and any rules you want Claude to follow. Keep it plain and honest. You will refine it over time.
  3. Tell Claude to read it firstAdd a line at the top saying to read this file at the start of every session. Most tools do this on their own, but stating it makes the habit reliable.
  4. Add a save-as-you-go instructionAdd one line telling Claude to append a short, dated summary of anything you decide, build, or learn into a note in your Inbox folder as it happens, so nothing is lost when the chat closes.
  5. Add a simple save commandTell Claude that when you type the word save, it should write a full summary of the conversation into your vault. Now you can capture a whole session with a single word.
  6. Keep a changelog at the bottomLeave a few dated lines at the foot of the file noting what changed. The profile improves with use, and you can see how it grew.

The Plaud Meeting Pipeline

Record a meeting, walk away, and find a tidy, named, searchable note waiting in your second brain.

This is the part of my stack that means I never take meeting notes again. A small recorder called Plaud captures the conversation, and a chain of automations turns it into a clean note: who said what, the key decisions, the action items. Claude figures out the speakers by cross-checking the calendar and a list of people I already know, then files the finished note into Obsidian, my synced notes vault. The only effort left for me is the occasional one-tap "yes, that was them" on my phone.

  1. Plaud records and transcribesPlaud is a small AI voice recorder, a pocket device that also runs as a phone app. It records the meeting and automatically produces a transcript plus a first summary in its own app.
  2. Zapier forwards it onZapier, a no-code automation tool, watches for the moment the transcript and summary are ready, then passes them along. This is the easy glue, no programming needed.
  3. n8n runs the heavy logicn8n, a low-code automation tool you can self-host for free or run in the cloud, catches the handoff and runs the real work behind the scenes.
  4. Claude names the speakersThe Claude API cross-references the meeting's calendar attendees and a roster of known people from your vault, turning Speaker 1 and Speaker 2 into real names and roles, then writes a clean, structured summary.

This is the most advanced piece in the stack and it took real iteration: working around rate limits, making sure the live automation is actually the version you published, and handling model version changes. You do not need all of it to win. Plaud plus a simple Zapier-to-Obsidian step gets you most of the payoff before you ever add the Claude speaker-ID layer.

A staged path from a free notes app to a system that captures your work and relationships on its own.

Everything you have seen today is built in layers, and you do not need the top layer to get value. Think of it as a ladder. Tier 1 gives you one owned home for your knowledge this week. Tier 2 adds Claude so AI can read and work that knowledge over a weekend. Tier 3 automates the capture itself, so your meetings and relationships record themselves. Start at the bottom, climb one rung at a time, and only add the next piece when the manual version starts to annoy you.

Your first hour
  1. Install Obsidian and create an empty vaultDownload Obsidian (it is free), click Create new vault, give it a name, and pick a normal folder on your computer's local disk. Try not to use a live-synced cloud folder, because two things writing at once can corrupt your notes. Leave the vault empty for now. This folder of plain text files is your second brain.
  2. Turn on the free Dataview pluginIn Obsidian go to Settings, then Community plugins, then Browse. Search for Dataview, install it, and enable it. You will not use it yet, but it is what later turns simple fields at the top of your notes into live tables, like a list of whose birthday is coming up. Set it up now so it is ready.
  3. Add Claude and point it at your vaultOpen Claude Code (the desktop agent that can read and write files in a folder) and open the same folder you chose for your vault. Now Claude can build files directly inside it. If you would rather stay inside Obsidian, the Claudian chat panel does the same job from a panel in the app. Either is fine.
  4. Run the Scaffold my vault promptFrom the Scaffold Your Vault module, paste the Scaffold my vault prompt and fill in the bracket with what you do. Claude proposes a tidy set of folders, a Home dashboard note, a daily-note template, and a plain English README, then creates them. Switch back to Obsidian and watch the folders appear. If you are unsure how to organise things, run the Design my structure prompt first and let Claude interview you before it builds anything.
  5. Capture one real thing into your InboxOpen the Inbox note Claude made and type one genuine messy thought, task, or person, exactly as it comes out of your head. Do not tidy it. The whole point of a second brain is that capturing is fast and processing comes later. You now have one real item to work with.
  6. Try a prompt on your own notesFrom the Daily Capture Habit module, run Process My Inbox so Claude reads that one item, files it into the right folder as a clean linked note, and clears it from the inbox. That is the full loop in miniature: capture rough, let Claude shape it. Once that feels natural, the Tier 2 Claudian prompts (summarise a meeting, draft from many notes) are your next step.

Scaffold Your Vault

Tier 1

Obsidian is a free notes app, and a vault is just a folder of plain text markdown files on your computer. Point Claude Code (the desktop agent that can read and write files in a folder) at that folder and it will build your folder structure, a home dashboard, and reusable note templates for you. You describe how you work, Claude does the typing.

  1. Install Obsidian and create an empty vault. Download Obsidian (free), click Create new vault, give it a name, and pick a folder on your local disk (not a synced cloud folder if you can avoid it). This folder is now your vault. Leave it empty for now.
  2. Install the Dataview plugin. In Obsidian go to Settings, Community plugins, Browse, search Dataview, install and enable it. Dataview turns fields at the top of your notes into live tables later, for example a list of every person whose birthday is this month.
  3. Open the vault folder in Claude Code. Launch Claude Code and open the same folder you chose for your vault. Now Claude can create and edit files directly inside it. If you would rather stay inside Obsidian, the Claudian chat panel works too.
  4. Run the scaffold prompt. Paste the Scaffold my vault prompt below. Claude proposes a folder set, a README, and a daily-note template, then creates the files. Switch back to Obsidian and you will see the folders appear.
  5. Add templates for the things you write most. Use the note-template prompt to create a reusable shape for meetings, people, or projects, with sensible fields at the top so Dataview can read them.
  6. If unsure, let Claude interview you first. Run the design-my-structure prompt. Claude asks how you work, suggests a structure using a known method, and only builds it once you approve. Better than guessing.

First thing, with Claude Code open in your empty vault folder.

You are looking at an empty Obsidian vault folder. I run [your business] and I also want to keep my personal life in here. Build me a tidy starter structure as plain markdown files and folders, directly in this folder.

Please create:
1. Top-level folders that fit me: an Inbox for quick unsorted capture, plus folders for Business, Personal brand, Writing, Health, Resources, People, and Archive. Adjust these to suit [your business] if a different set makes more sense, and tell me what you changed and why.
2. A Daily notes folder, and a daily-note template note inside it with headings for Today's focus, Notes, and Tasks.
3. A Home dashboard note at the top level that links to each main folder, so I have one note to start from each day.
4. A short README note explaining what each folder is for in plain English, so future me remembers the system.

Use simple folder and file names with no special characters. After you create everything, give me a one-paragraph summary of the structure and one tip for keeping it tidy.

Create a reusable note template for [meetings / people / projects] in my Obsidian vault, saved in a Templates folder (create the folder if it does not exist).

Put sensible fields at the very top of the note inside a frontmatter block (the section between two lines of three dashes), because the Dataview plugin reads those fields to build live tables. For a [people] template, include fields like name, relationship, birthday, and last contact. For [meetings], include fields like date, attendees, and project. For [projects], include fields like status, owner, and due date. Pick whatever fields actually suit [meetings / people / projects].

Below the fields, add a clear body with headings I can fill in each time. Explain each field in one line in your reply so I know what to type, and show me one example Dataview table I could paste into my Home note to list these.

First, interview me. Ask me up to eight short questions about how I actually work: what [your business] does, what I produce day to day, what I need to find again later, and how I think about personal versus work notes. Ask them a few at a time, not all at once.

Then propose a folder structure for me. Mention whether you are leaning on PARA (Projects, Areas, Resources, Archive) or LYT (Linking Your Thinking, a more linked, map-of-content approach), and explain in plain English why that fits my answers. Keep it simple, no more than about eight top-level folders.

Only once I reply with approved should you create the folders and a short README explaining the system, directly in this vault folder.

Claudian is a chat panel that lives inside Obsidian and can read and write across your whole vault. These prompts turn it into your note-working partner: summarising meetings, drafting from many notes at once, and tidying messy pages with a diff you approve first.

Pull the relevant points from each note. Do not invent facts. If the notes disagree or a key detail is missing, list those gaps at the bottom under Open questions instead of filling them in.

Match my plain, direct tone: short sentences, no fluff. Save the draft as a new note called [draft for client name] and tell me which note each main point came from so I can check it.

Before a call or follow-up, to remember where things stand with someone.

Search my whole vault for every mention of [client or topic]. Then give me a one-paragraph summary of where things stand right now: the latest status, anything outstanding, and what I said I would do next.

Under the paragraph, list the notes you found it in as links, newest first, so I can jump straight to the source. Do not change any of my notes, just read and report.
Tidy a messy pageClaudian (inside Obsidian)

When a note has grown into a long, unstructured dump you want cleaned up.

Turn on Plan Mode first (Shift+Tab), then plan a tidy-up of this note before changing anything.

Restructure it with clear headings, group related points together, and add a short summary at the top. Keep all my facts and wording where it matters, just organise it. Do not delete content, only reorder and add headings.

Show me the full plan and the diff of what you will change, and wait for my approval before you touch the note.

Start in Plan Mode (Shift+Tab) so Claudian shows you the plan and a diff before it changes a single word, then approve it. Once you trust how it works on your notes, let it edit directly. Either way it always shows you what it changed, so nothing happens behind your back.

Build an auto-wiki with claude-obsidian

Tier 2

claude-obsidian is a free Claude Code plugin (not an Obsidian plugin) that you point at your vault. It reads a document you give it, then builds 8 to 15 interlinked wiki pages from it, flags contradictions, and can run a health check on the whole thing. You type everything here into Claude Code, the desktop agent that can read and write files in a folder.

  1. Install the plugin. In Claude Code, run: claude plugin marketplace add AgriciDaniel/claude-obsidian . Then install claude-obsidian from that marketplace. This adds the /wiki and /autoresearch commands. It is free.
  2. Open Claude Code on your vault. Start Claude Code with your Obsidian vault folder as the working directory, so it can read and write your notes. The plugin works on whatever folder it is pointed at.
  3. Scaffold the wiki. Run /wiki to set up the empty structure. It will ask which style you want: PARA (organise by projects and areas), LYT (maps of content), Zettelkasten (atomic linked notes), or generic. Generic is the safe default if unsure.
  4. Ingest your first document. Give it ONE document to start, a report or article. It reads the file and turns it into linked pages, then updates the index so everything is navigable.
  5. Fill the gaps with research. Run /autoresearch on a topic to send Claude off doing a few rounds of web research, then file what it finds back into your wiki as new linked pages.
  6. Run a health check. Ask it to lint the wiki. It returns orphan pages (nothing links to them), dead links, gaps, and contradictions between sources, so you can clean up before you trust it.

Start with one document, not your whole archive. Claude reads whatever you ingest, so keep genuinely sensitive client files out of the folder you point it at unless you are comfortable with that.

Give Claude a Memory in Your Vault

Tier 2

Every fresh Claude chat starts from nothing and forgets you the moment it closes. You fix that with a single file at the top of your vault called CLAUDE.md. Claude Code reads it first thing every session, so it always knows who you are and how you work. Add an instruction telling Claude to write a short summary into your vault as you go, and your notes become a shared memory across every Claude you use: Claude Desktop, the Claudian panel in Obsidian, and Claude Code.

  1. Create the master file once. Run the Create my master context file prompt below. Claude asks you a few short questions, then writes a CLAUDE.md at the very top of your vault folder covering who you are, what you do, how you like to write, and your rules. This one file is what every Claude reads first.
  2. Keep it short and true. A good CLAUDE.md is a page, not an essay. Facts, preferences, and a few hard rules. If it is wrong or out of date, Claude acts on the wrong thing, so treat it as a living document you tidy now and then.
  3. Turn on save-as-you-go. Add an instruction to CLAUDE.md telling Claude to append a short dated summary of each work session into a note in your Inbox. Now the things you decide and build get written down without you remembering to do it.
  4. Save a chat that happened elsewhere. When you have a good session in plain Claude Desktop or the web app (which cannot see your vault), end it by asking Claude to summarise everything and paste it into a memory note, so your next vault session picks up where it left off.
  5. Refresh the profile from your notes. Every few weeks, run the Update my profile prompt so Claude reads your recent notes and folds anything new about you or your business back into CLAUDE.md, with a dated line in the Changelog so you can see what changed.
  6. Let it follow you between tools. Because all three Claudes read the same vault, the memory is shared. A fact you save in Claudian is there when you open Claude Code tomorrow. That is the whole trick: one file, read everywhere.

Spell out the exact heading format you will use for each entry so it is consistent every time. Use a level-two heading with the date, like '## 2026-07-01 session', followed by the bullets underneath. Show me the section you added and one example entry so I can see what it will look like.

At the end of a good chat that cannot see your vault, so the next session inherits it. Also works from the Claudian panel.

Before we finish, summarise everything we decided and built in this conversation so my next session has the context.

Write it as a short, skimmable set of bullets: the decisions made, anything we created, and any new facts worth remembering. Keep it tight, no filler. Then append it to my memory note at [my memory note, e.g. Inbox/claude-2026-07-01.md] under a level-two heading with today's date, like '## 2026-07-01'. If you cannot write to that note directly, give me the text in a code block so I can paste it in myself.
Update my profileClaude Code

Every few weeks, to keep the master file current without rewriting it. Works the same in Claudian.

Review my recent notes in [the folders to scan, e.g. Inbox, Business, and Daily] and update my CLAUDE.md at the top of this vault with anything new about me, my business, or how I work.

Merge the new details into the right sections. Do NOT remove or rewrite anything that is already there without checking with me first: if you think something is out of date or contradicts a note, list it and ask me before changing it. Add a dated line to the Changelog at the bottom ([today's date, YYYY-MM-DD]) describing what you added.

When you are done, show me a short summary of what changed and any conflicts you want me to settle.

Your CLAUDE.md slowly becomes a detailed profile of you and your business, which is exactly what makes every Claude you open feel like it already knows you. That also makes it sensitive: keep your vault private and on your local disk, and do not paste it anywhere public. This one file is the difference between a clever assistant and one that actually knows you.

Meetings That Capture Themselves

Tier 3

This is the dream: you talk, the meeting records itself, and a clean, labelled summary lands in your vault before you've left the room. You don't build the whole thing on day one. Start with a recorder and one simple automation, then add the smart bits once the basics are humming.

  1. Start simple: recorder to vault. Use a Plaud (an AI voice recorder) to capture and transcribe the meeting. Then use Zapier (a no-code tool that connects apps with simple triggers) to take that finished summary and append it into a note inside your Obsidian vault folder. One recorder, one trigger, done. This alone is most of the value.
  2. Pick where the note lands. Decide on one folder in your vault for meeting notes, for example a Meetings folder. Tell Zapier to drop every meeting into that one place with a sensible title like the date plus the meeting name. Consistency here is what makes the notes findable later.
  3. Add speaker labels with the Claude API. Once the simple version is reliable, route the transcript through n8n (a low-code workflow tool, think Zapier with more control). In n8n, call the Claude API and feed it the transcript, that meeting's calendar attendees, and a short roster of people you know. Claude labels who said what and writes a structured summary instead of a wall of text.
  4. File it automatically. Have a small helper script on an always-on computer take Claude's labelled summary and save it as a note in your vault folder. No copy-paste, no babysitting. The note simply appears.
  5. Confirm the unsure speakers. When Claude isn't sure who spoke, have n8n send you a Telegram message with one-tap buttons. You tap the right name from your phone, and the workflow updates the note. This is the last polish, not where you start.
  6. Treat the full chain as the destination. Plaud plus the simple Zapier-to-vault step is day one. The Claude speaker-ID layer, the filing helper, and the Telegram confirm are upgrades you bolt on one at a time, only after the step before it is solid.

Use first, before you wire anything up, to get a setup matched to your kit.

I want my meetings to record themselves and end up as clean notes in my Obsidian vault. Interview me one question at a time about: 1) what voice recorder or app I use to capture meetings, 2) what calendar I use and whether attendees are listed on each event, 3) where my Obsidian vault lives and which folder meeting notes should go in, and 4) how technical I am with automation tools. Once you have my answers, propose the SIMPLEST possible pipeline to get a meeting summary into [my vault folder, e.g. Meetings] using a recorder plus a no-code trigger like Zapier. Write the logic for an n8n code node that does speaker identification and summarisation by calling the Claude API. The node receives three inputs: 1) the raw meeting transcript text, 2) the list of calendar attendees for that meeting, and 3) a roster of known people (name plus a short note on each, like their role). Have the node build a prompt that asks Claude to label who said what using the attendees and roster as the candidate speakers, and then write a structured summary with sections for decisions, action items, and open questions. Output clean Markdown ready to save as an Obsidian note. Explain clearly where each of the three inputs plugs into the node, and leave a clearly marked placeholder for [my Claude API key] rather than inventing one. Do not include any real keys or secrets.
Design the confirmation stepClaude Code

Use last, once speaker ID works but sometimes guesses wrong.

Design a Telegram confirmation step for my meeting pipeline. When the Claude API is unsure who a speaker is, I want a Telegram message sent to me with one-tap inline buttons, one button per likely person from the meeting's attendees plus an Other option. Describe: 1) what the message text should say so I can decide quickly, 2) how the tap buttons should be laid out, and 3) what should happen after I tap, specifically how the chosen name gets written back so the saved Obsidian note is corrected in place. Describe the flow and the message structure in plain English. Use [my Telegram bot] and [the note path] as placeholders and do not include any real bot tokens, chat IDs, or webhook URLs.

A Relationship CRM That Updates Itself

Tier 3

A CRM (a contact-relationship system) that fills itself in from your own WhatsApp chats, so each person's note stays current without you typing it. Start simple with one exported chat, then graduate to a nightly job that syncs, summarises, and surfaces who you are losing touch with.

  1. Start simple: export one chat. In WhatsApp, open a chat with someone, tap the menu, choose Export chat (without media), and save the text file into a folder inside your vault like People/_inbox. No coding yet, you are just dropping a file in.
  2. Ask Claude to mine that chat. Point Claude Code at the exported file and have it pull the useful bits (life events, follow-ups, gift ideas, interests) into that person's note. Tell it to merge, never overwrite, so anything you wrote by hand survives.
  3. Go full: build the sync script. Once the simple version proves its worth, have Claude Code write a script that reads an export file and creates or updates one markdown note per person in your People folder, filling simple frontmatter fields like last-contact date and birthday.
  4. Add the nightly WhatsApp feed. The real pipeline reads your chosen chats automatically each night using an open-source WhatsApp Web library (Baileys), writes them in as markdown, and stamps each person's last-contact date. Treat this as the advanced add-on once the script works on a manual export.
  5. Add the Claude extraction step. After the nightly sync drops raw messages in, a small fast model (Claude Haiku) reads each person's note and fills in life events, follow-ups, and gift ideas by adding and merging, never clobbering your own words. Cheap to run every night.
  6. Build the dashboard. A Dataview query (Dataview reads the frontmatter across your notes and lists it like a live table) surfaces upcoming birthdays, people you have not spoken to in a while, and open follow-ups. This is the bit you actually look at each morning.

I have a nightly job that drops raw WhatsApp messages into each person's note in [path to my People folder] under a '## Chat log' heading. Add a step that, for each note changed today, reads the new messages and updates a '## Summary' section with: recent life events, open follow-ups, and gift ideas.

Use a small fast model for this and keep it cheap. The step must ADD and MERGE only: never edit my hand-written notes, never delete the chat log, and never restate something as fact if it's only a guess (flag guesses under 'To confirm'). Make it skip notes that haven't changed so it stays fast and low-cost, and log what it touched.

Create a Dataview dashboard note in my vault called 'Relationships'. It should read the frontmatter from every note in my People folder at [path to my People folder] and show three tables:

Privacy first: this reads your own WhatsApp and stores other people's messages inside your private local vault. Keep it to your own data, store the vault securely (it is now sensitive), and respect the people you talk to. Unofficial WhatsApp connections are not blessed by WhatsApp, so they can break when WhatsApp changes something. Expect occasional maintenance, and never share these notes.

Let Claude Build the Plumbing

Tier 3

The real Tier 3 unlock is that Claude Code can write the automation for you. You do not need to be a programmer. You describe the job in plain English, Claude builds the script and explains it, then helps you put it on a schedule. The prompts below work for any capture source, not just one tool.

  1. Describe the outcome, not the code. Tell Claude what you want to happen ("get my voice memos into my vault as notes") and let it pick the simplest way to do it. You are the boss, not the builder.
  2. Let it interview you first. Ask Claude to interview you about the tools you already have before it builds anything. A good pipeline reuses what you own instead of adding new accounts.
  3. Build the smallest working piece. Get one note saving correctly before you automate everything. Confirm a real item lands in your vault with the right title and frontmatter, then expand.
  4. Make it survive the real world. Ask Claude to add error handling and a simple log so a bad file or a dropped connection does not break the whole run silently.
  5. Schedule it and learn the off switch. Have Claude set it to run on a schedule on your machine, and make sure you know how to check it is still running and how to turn it off.
  6. Always ask it to explain what it built. Get a plain-English walkthrough of the script and where it lives, so you can maintain it or hand it to someone later.
